Hybrid Work Note:
The CCCU D.C. Headquarters is open 5 days a week. Staff are eligible to work remotely on Monday/Friday with approval of their supervisor. Candidates must be able to work effectively in both an in-person and virtual environment.
Executive Assistant The Job Overview:
The Executive Assistant is a key member of the presidential office team and represents professionalism in all internal and external aspects of conducting the Christian mission of the CCCU. The Executive Assistant report directly to the president, displaying energy, graceful enthusiasm and hospitality while representing the CCCU with pride and excellence.
The Executive Assistant ensures the systems and processes supporting the work of the president are maintained. The ability to maintain the highest level of confidentiality and manage a flexible work environment are vital. Excellent written communication and proofreading abilities are required. The successful candidate has a proven record of professionalism, reasonable decision-making, and project coordination. The Executive Assistant is responsible for connecting with all areas of the CCCU, working and communicating effectively with a variety of personalities and work styles.
Essential Functions of the Role:
Function as confidential executive assistant to the president for all aspects related to the president.
Manage the president's speaking engagement requests and requests for written communication, such as articles and publications
Create effective partnerships with all areas of the CCCU, for scheduling of interdepartmental functions and external facing obligations, including donor relations, conferences, and events.
Collaborate with the membership services to maintain accurate lists of new presidents and retiring presidents.
Maintain regular communication with member campus offices including but not exclusive of :bi-weekly Snapshot emails, regular posts on Executive Assistant's networking community.
Collaborate with the other departments within the organization to support effective working relationships with the office of the presidents, including presidential peer to peer communication.
Represent the President's Office internally so that the values of the President's Office are communicated with consistency and hospitality.
Manage the president's external board and partnership responsibilities (i.e. NAE, WHES, Trinity Forum).
Serve as the confidential secretary to the Senior Leadership Team (SLT) including scheduling, recording minutes and tracking SLT action items.
Partner with the Executive Assistant to the Board, Cabinet, & Senior Project Manager on projects as needed.
Serve as the backup to the Executive Assistant to the Board, Cabinet & Senior Project Manager as needed
Coordinate travel for the president.
Research projects as directed by the president
Other duties as assigned by President, Chief Operating Officer and Chief of Staff or Executive Assistant to the Board, Cabinet & Senior Project Manager.
Travel is required: attendance at various conferences and board events may be required, typically less than 10 days per year.
Preferred Skills:
Ability to uphold the strictest level of confidentiality and effectively manage sensitive information with professionalism and speed.
Professional skills in verbal and written communication and executive presence: with excellent grammar, punctuation, and spelling.
Excellent organizational skills and keen attention to detail.
High proficiency with Microsoft Office Suite (Outlook, Word, Excel, etc.)
Ability to manage multiple priority tasks at the same time.
Travel arrangement experience preferred.
Preferred Education and Experience:
A college degree preferred, although extensive experience could substitute for a degree.
2-3 years of progressive experience as an assistant, preferably as an executive assistant.
