Summary: The Coordinator reports to the Vice President of Social and Behavioral Health and splits time supporting the following portfolios: the Behavioral Health States and Territories; Overdose Data to Action; Opioid Preparedness, Response; and Public and Behavioral Health Integration.
Provides administrative support to the Vice President of Social and Behavioral Health (SBH), as well as SBH Senior Directors and Directors, including helping organize and prioritize time-sensitive assignments and deliverables, coordinate required program updates, monitor completion of tasks and assignments, and manage calendar appointments.
Manages team Zoom accounts, including overseeing the scheduling process.
Coordinates meetings and assists with meeting planning and technology and logistical support, including technical assistance and capacity building program work.
Coordinates process to collect information from Social and Behavioral Health staff for weekly reports to the Executive Leadership Team and quarterly reports to the ASTHO Board.
Shares in workload with staff to complete any job that has priority at the time.
Performs research and prepares briefing materials and/or written summaries.
Performs tasks involving writing reports, contract files, memos, meeting minutes, and professional correspondence; edits documents as required.
Organizes and maintains a system to efficently store SBH electronic files on Microsoft Teams, Sharepoint, and network drives.
Monitors and assists with updating SBH webpages.
Works closely with the Communications Team to promote SBH work and related awareness months.
Assists SBH staff with monitoring and collecting metrics related to work products.
Attends meetings either in person or remotely and provides notes to staff.
Represents and serves as a designated liaison for Social and Behavioral Health on ASTHO administrative work groups and ad hoc administrative projects.
Performs general administrative support such as updating worksheets and PowerPoint presentations.
Ability to participate in after-hours or weekend work to support events, conferences, and other functions.
Performs related duties as required.
1-2 years of experience in a similar position providing administrative/office and customer service support.
Experience working for membership association or grants funded organization preferred.
Excellent computer skills including Microsoft Office Suite and Zoom.
Excellent interpersonal skills.
Excellent organizational and written communication skills.
Ability to manage diverse, often competing, priorities with positive outcomes.
