Woodberry Forest School seeks anAssistant Director of Advancement Services for its Alumni and Development office.
General Description: The Assistant Director of Advancement Services will manage various aspects of events including invitations, registration, and tracking using various software. The candidate will manage multiple, complex projects, prioritizing as needed to keep them on schedule with careful attention to detail. The Assistant Director of Advancement Services reports to the Director of Advancement Services.
Essential Duties and Responsibilities
Manages event registration for large and small events, using Eventbrite. Provides event-by-event tracking for large-scale events such as reunion utilizing Raiser’s Edge software, providing attendance updates to the development team, researching attendee biographical information and lead in creating personalized materials such as name tags, menu cards, signage and table seating.
Drafts and distributes event invitations and promotional materials.
Oversees customer support for any event registration fees (currently through EventBrite).
Maintains professional and technical knowledge by attending educational workshops, establishing personal networks, and participating in other means of continued education.
Assists with Social media support for LinkedIn, Facebook, Instagram, and other social media outlets.
Enters contact reports from event and visit related contacts into the development database.
Assists with additional software and technology platforms as assigned.
Enters information into the development database including but not limited to gift entry, ensuring that appropriate documentation is used to support all significant database changes and that changes are made with precision and accuracy.
Provides general support to the development team as assigned by the Director of Advancement Services.
General Skill & Experience Requirements
Bachelor’s degree preferred.
Proficiency with Microsoft Word, Excel and Google Suite.
Proficiency with Eventbrite and other event coordination software.
Knowledge of the latest technology, applications and systems.
Knowledge, skill and ability working with complex relational databases. Experience with Raiser’s Edge is preferred.
Demonstrated experience in database management, including expertise in data extraction and manipulation preferred.
Previous experience in the development/advancement offices of independent schools or other nonprofits is a plus.
Meticulous, detail-oriented, organized, and able to prioritize and multitask.
Ability to be a team player with a positive outlook.
Proven success as a skilled, creative problem solver who is able to learn quickly and independently.
Ability to maintain a high level of confidentiality and to work well under pressure and maintain a calm and professional demeanor.
Consistently punctual and reliable.
Willingness to work occasional evenings and weekends.
