We are seeking a bright, self-motivated and hyper-organized operations manager to join Coda’s growing team in the U.S. Reporting to the Publisher and Editor-in-Chief, this person will work closely with the top management team in Tbilisi, Georgia, and in the U.S. as well as with the small, but dedicated and highly dynamic development and newsroom staff. The person will provide critical operational and financial support to Coda’s journalism and help to grow the company’s grant portfolio and revenue streams. The person who takes this role will be ultimately responsible for the daily financial operations of the organization, while interacting with staff and key stakeholders as a decision-making partner, and helping to manage our many special projects. This person will also directly manage a Projects Assistant based in Tbilisi.
Responsibilities include but are not limited to:
Accounts payable and receivable, including calculating expense allocations.
Bank deposits, payment processing and reconciliation of monthly credit card statements
Payroll processing and human resources database management, oversight of HR and payment platforms.
Managing health care benefits, for U.S. and Georgian employees.
Managing budget and P&L.
Assisting with grant accounting, ad-hoc reporting and annual audit preparation and ability to back up leadership and development team in preparation of grant proposals and compiling information for funders, government agencies, etc. as needed.
Conducts continuous self-directed research into available grants for which Coda may qualify.
Directs the preparation of grant presentations, proposals, budgets and budget justifications based on the specific grant aims, with input from company leadership.
Maintains detailed, up-to-date files of core marketing assets (staff bios, project descriptions, mission statements, most recent company updates, most recent metrics, success stories, etc.).
Maintains an updated calendar of important dates and deadlines for proposal submissions, reporting requirements, etc. and project-manages work with each funder throughout the lifecycle of each grant.
Ensures progress reports are prepared and submitted as required by donors and grant making organizations
Tracks the status of pending applications, follows up with contacts regarding review/funding status of applications.
Ensures files are complete for awarded applications, follows up with contacts and/or administrators regarding missing information.
Prepares summary reports of applications submissions and outcomes to company leadership.
Overseeing expense report filing and approval process; approving budgets for special projects.
Liaising and negotiating with outside vendors in the U.S. and Georgia.
Liaising with international freelancers on operational, logistical matters (payment processing, etc.).
Working closely with the senior management team on developing and implementing Coda’s revenue strategy.
Reports to Publisher and Editor-in-Chief.

Knowledge of MS Office, including intermediate level Excel proficiency and bookkeeping skills are required. Experience with Quickbooks, payroll processing systems and non-profit accounting are a plus.
