Dr. Kakenya Ntaiya is a leading advocate for girls’ education and empowerment. Surviving female genital mutilation and avoiding an arranged marriage as a child, Dr. Ntaiya went on to become the first woman from her community to go to college in the US. She founded Kakenya’s Dream to continue paving the way for the next generation of women leaders in her community.
Kakenya’s Dream is seeking an executive assistant to help ensure that the organization runs efficiently and effectively by supporting the president and the execution of executive responsibilities. S/he must be motivated, assertive, and self-directed. The individual must be comfortable interacting with senior-level professionals, including board members (international and domestic) as well as external contacts from corporations, foundations, and peer organizations. S/he must have superior organizational skills, excellent communication skills, and sound judgment, and should be interested in working in a fast-paced environment with highly motivated staff in a mission-focused organization. This position will report to the chief operating officer.
Executive Management (50%)
Manages the president’s extensive appointment schedule, coordinating a high volume of meetings while maintaining balance in the president’s calendar.
Manages the day-to-day activities of the president and her email to keep activities on schedule and to ensure appropriate and timely follow-up.
Arranges and coordinates travel (domestic and international). Includes logistics, expenses, briefing materials, itineraries and management of tasks and action items by other staff members related to travel/meeting.
Assists the director of development in writing meeting briefings to prepare the president for donor meetings and following-up after meetings.
Proactively assists the president with her to-do list, working with members of the staff and board as needed.
Attends meetings as needed to ensure meeting notes are captured, action items are collected and assigned appropriately following meetings/events.
Assists the communications and development associate with managing the president’s social media accounts and talking points to prepare the president for speaking events and panels.
Creates and maintains a favorable image of the organization and the president’s office, communicating in a professional, positive and cordial manner on behalf of the president.
Board Management (25%)
Takes primary responsibility to coordinate, draft and prepare all materials for board and committee meetings.
Takes board meeting minutes and committee meeting notes.
Operational Support (20%)
Serves as the frontline face of the organization routing calls and mail appropriately.
Manages two Kakenya’s Dream organization email accounts including responding to inquiries from staff and the public, and channeling inquiries to staff members as appropriate.
Coordinates agendas and notes for various staff meetings.
Coordinates travel for all staff members.
Back stops the development manager with maintaining the development database and various tracking tools as well as entering and acknowledging gifts.
Makes weekly bank deposits.
Office Administration (5%)
Manages and organizes the organization’s IT systems and serves as the point of contact for technology-related vendors.
Ensures the office is appropriately supplied with adequate stock of collateral and office supplies.

Bachelor’s degree and at least one years’ experience as an Executive Assistant or equivalent experience.
Proficient in Microsoft Office and Google applications.
Must be able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands.
Resourcefulness in anticipating and meeting the needs of a senior executive is essential.
Excellent writing and communications skills, with the ability to draft correspondence on behalf of executives.
Must demonstrate initiative and follow-through.
Must be detail oriented. The ability to proofread and make appropriate recommendations for clarity and correctness is essential.
Must handle confidential matters with appropriate discretion.
Nonprofit and/or fundraising background helpful.
International experience or perspective, especially related to East Africa, education, violence against women/girls, and/or empowering girls.
Experience using a fundraising database.
